Booking Policies, Terms & Conditions

At Travel With Mac LLC (“TWM”), we design elevated, culturally immersive travel experiences rooted in connection, intention, and impact. To ensure transparency and a seamless experience for every traveler, please review the following Booking Policies, Terms & Conditions carefully prior to confirming your reservation.

By booking with TWM, you acknowledge that you have read, understood, and agreed to these terms on behalf of yourself and all travelers included in your booking.

Payments & Deposits

  • Payments are accepted via Zelle and major credit or debit cards.
  • Trip costs are divided into even monthly payments, unless paid in full at the time of booking.
  • The final balance is due 30 days prior to the trip start date.
  • Your first payment serves as a non-refundable deposit per traveler, securing your space on the trip.

Booking Commitment & Group Size

All reservations are confirmed based on the number of travelers selected at the time of booking.

  • Once confirmed, the number of travelers cannot be reduced for a refund or credit.
  • If fewer travelers ultimately participate, the original booking total remains due.
  • This policy allows us to honor vendor contracts, accommodations, and services arranged specifically for your group.

Missed or Late Payments

  • If two monthly payments are missed, your reservation may be subject to cancellation without refund.
  • A $100 late fee applies after 5 business days for each late payment.
  • Reservations with unpaid balances after the final payment due date may be canceled at TWM’s discretion.

Refunds, Cancellations & Future Travel Options

After the 48-hour grace period, all payments are non-refundable.

If you are unable to travel:

  • You may reschedule your trip one time within one year, during the same seasonal period, subject to availability.
  • If your rescheduled dates fall within a higher or peak season, any applicable rate difference will apply.
  • Travel deferred beyond one year requires filing a claim with your travel insurance provider and booking a new trip at the current market rate.

Required Travel Medical Insurance

For your safety and peace of mind, all travelers are required to carry Travel Medical Insurance that includes:

  • Emergency medical coverage
  • Emergency medical evacuation
  • Repatriation of remains

Proof of insurance must be submitted no later than 14 days prior to trip departure.
Failure to provide proof may result in the inability to participate in the trip without refund.

On-the-Ground Support & Trip Assistance

Our trusted local partners and ground team are your primary point of support throughout the journey.

  • We kindly ask that travelers allow the on-the-ground team reasonable time to assess and resolve any issues.
  • Expenses incurred independently—without authorization—cannot be reimbursed.

Children & Age Policy

  • Standard group trips are designed for adults only.
  • Children are welcome exclusively on private, custom-designed trips.

Accommodations

Accommodations are thoughtfully selected to complement the overall group experience.

  • Travelers who choose not to stay at the arranged hotels may secure alternate accommodations independently.
  • No refunds or credits apply for unused accommodations included in the itinerary.

Itinerary Flexibility

While every effort is made to follow published itineraries, thoughtful adjustments may occasionally be required due to availability, weather, or operational considerations.

When changes occur, equivalent or enhanced alternatives will be provided whenever possible.

Photography, Video & Media Ownership

Photography and video may be captured during Travel With Mac experiences to document and reflect the journey.

All photographs, video footage, audio recordings, and related content captured by Travel With Mac LLC (“TWM”), its representatives, contractors, or designated photographers are the sole and exclusive property of TWM.

While TWM may share select photos and videos with travelers as a courtesy, travelers do not own, license, or have any rights to the content and may not claim ownership, restrict use, or dictate when, where, or how such content is used or published.

By participating in a TWM trip, you grant TWM the unrestricted, perpetual, irrevocable, royalty-free right to use, reproduce, edit, publish, and distribute all captured media for marketing, promotional, educational, and commercial purposes across any platform, without additional consent, notification, or compensation.

Traveler full names will not be disclosed publicly without express written consent.

Travel Documents & Communication

Travelers are responsible for reviewing all communications provided by TWM, including emails, itineraries, WhatsApp messages, and trip updates.

Travel documents are typically issued approximately 4 weeks prior to departure, once all payments, insurance documentation, and required traveler information have been received.

Passports & Visas

Travelers are responsible for ensuring passports are valid and any required visas are secured.

Please ensure traveler names match passport details exactly. TWM cannot be held responsible for denied boarding, entry refusal, or related expenses due to documentation issues.

Traveler Conduct

We aim to cultivate respectful, enriching group experiences. TWM reserves the right to remove any traveler whose conduct compromises the safety, comfort, or experience of others.

Any such removal will be without refund, and all associated costs will be the traveler’s responsibility.

Our Role as Travel Curators

Travel With Mac LLC partners with trusted third-party suppliers worldwide. While we curate and coordinate each journey with care, we are not responsible for the acts or omissions of independent vendors.

Booking Acknowledgment

By submitting my deposit, I acknowledge that I have read and agree to Travel With Mac LLC’s Booking Policies, Terms & Conditions. I understand that all payments are non-refundable after the grace period, travel insurance is required, and I am financially responsible for the full booking as confirmed at checkout.
